Messaging Overview

The message page can be accessed by clicking the mail icon located to the far right of the main navigation.

You will only be able to message staff members (colleagues) within your organization. If you belong to multiple organizations, you will need to switch to another organization to send a message to a staff member there.

The OCHART messaging system is not a replacement for email. Email notifications will be sent to a recipient's work email, but you must login to access messages in OCHART.

Message Folders

To the left of the message page, you will see the message folders available, with a number beside each to indicate messages contained within. The inbox will only display the number of unread messages, where  as the other folders will display the number of overall messages.

  1. Inbox: This folder contains all unread (new) and read messages that haven't been moved to another folder.
  2. Drafts: This folder contains all messages that you have saved as a draft. You might save messages as draft if you aren't ready to send the message to a colleague in your organization, but want to edit and send at a later time.
  3. Archive: This folder contains all messages that you want to save to reference later. You might move messages to this folder if they have attachments or content you reference often.
  4. Sent: This folder contains all messages that you have sent to colleagues in your organization.
  5. Trash: This folder contains all messages that you no longer require. After a period of time, this folder maybe be emptied to conserve resources in the OCHART application. Only move messages to this folder if you are sure you will not need them.

Message List

Each message folder will contain a list of corresponding messages.

  • If there are more than 50 messages, you can load more by clicking the arrow buttons in the top right of the list.
  • Messages display the name of the sender, the subject and a snippet of the message itself.
  • Unread messages will be bold.
  • To the right, you can see the date and time you received the message. You can also see whether there are any attachments in the message.

Message List Actions

  1. Click the message subject to view the details (see the "Send a Message" resource for more details).
  2. Click the Compose button at the top right of the page to create a new message.
  3. You can perform a variety of bulk or single message actions in the Inbox and Trash folders:
    • Click the checkboxes on the left to select the messages.
    • Use the action dropdown at the top left of the list to select the appropriate action.
    • Click the Apply to selected items button to execute the action.
  4. To search your messages, type a keyword or name into the Search bar located above the folders and hit enter/return on your keyboard.
